Your responsibilities
Scope of duties:
Order management:
Coordination of product deliveries from the factories to the warehouse (purchase orders). This includes (but isn’t limited to):
oCoordination and organisation of the transportation
oCollaboration with the warehouse team and reception of the deliveries in system, information about discrepancies and preparation of claims
oIssuance of appropriate supporting documentation and insurance of documentation accuracy
Supporting customers with their ordering and logistics processes. This includes (but isn’t limited to):
oReceiving, entering and processing customer orders in Matex Lab’s ERP (including invoicing)
oDaily communication with customers to provide information on the product offering, prices, supply chain aspects, etc.
oProvision of support with the issuance of the logistics documentation (including commercial invoices, packing lists, certificates of origin,
EUR1, )
Animation of the work with logistics service providers.
Definition of key expectations, processes and assurance of proper execution. This includes (but isn’t limited to):
oCreation of SOPs
oPerformance monitoring and identification of gaps and improvement opportunities
oClaims, follow-up on issues
oCreation of reports
Process optimisation and cross functional project management:
• Identify opportunities for the improvement of Matex Lab’s supply chain processes
• Suggest steps to close the gaps, plan and execute with the support of the Global Supply chain director
• Support the implementation of projects by providing expertise: process mapping, explanation of key supply chain aspects, ability to act as
point of reference of supply chain topics
Other functions:
• Collaborate with internal partners and provide support (documentation, reporting, functional expertise)
• Perform other duties as assigned
Our requirements
- Minimum of 5-10 years of professional relevant professional experience in supply chain
- Experience with process optimisation and continuous improvement
- Experience in implementing projects in cross functional teams
- Highly structured with strong analytical and communication skills
- Problem solving orientation
- Ability to work in a fast paced international environment
- Team player able to work independently
- Excellent MS Office skills (Excel and PowerPoint)
- Fluent in English and Polish, other language a plus
- Knowledge of D365 or another ERP is a plus
